1. About this policy

Moon Express Inc. (“Moon Express,” “we,” or “us”) operates moonfreightusa.com and its associated company website and portals. This policy describes information collected through these online services. Our terms of service explain the rules for using them. Separate notices or agreements may apply to employment, transportation, or other business relationships.

2. Information we collect

• Inquiries and quotes: your name, email, phone number, company, pickup or service date, origin and destination ZIP codes, equipment or service selection, quantities, displayed estimate, mileage, and any notes you provide.
• Driver applications: your name, contact details, CDL status, experience, preferred position, home ZIP code, work-authorization answer, and application notes.
• Trip reports and inspections: the driver name you enter, truck and trailer numbers, dates, locations, mileage, stops, labor hours, layovers, expenses, odometer readings, inspection results, remarks, and vehicle or defect photos you upload.
• Account and session information: an account or browser-session identifier and, for staff using Google sign-in, profile information such as name and email. We record successful staff sign-in and recent portal-activity timestamps for access support and website health. These timestamps are not GPS tracking.
• Technical information: hosting, authentication, and other service providers may process IP addresses, browser or device information, request times, and security or error logs when you use the website.

Please provide only information needed for your request or report. Do not enter Social Security numbers, payment-card details, medical records, passwords, or unrelated personal information in notes or photos. This website does not request continuous access to your device location.

3. How information is used

We use information to respond to requests, prepare and confirm services, review applications, coordinate dispatch, maintain trip and inspection records, support settlement preparation and maintenance, track inspection completion, manage authorized access, diagnose website problems, prevent misuse, and meet business and legal recordkeeping needs.

Contact details submitted with a request may be used to follow up about that request or an existing business relationship. Submitting a form is not consent to unrelated marketing messages.

4. Who can receive information

Authorized company administrators can view submitted applications, quote requests, trip reports, and inspections. Authorized shop staff can view inspections and their photos. Drivers can access records associated with their signed-in account or the browser session used to submit them.

Information may be shared with providers that host the website, authenticate users, store records or images, support communications, or help perform the requested services. We may also disclose information when required by law, to respond to valid legal process, protect people or our rights, investigate misuse, or carry out a business transfer with appropriate safeguards.

Our website does not include advertising pixels or features for selling personal information or sharing it for targeted advertising. Third-party media and external services have their own practices, described below.

5. Website providers and external services

• Google Firebase: provides website hosting, authentication, and storage of submitted data and uploaded images. Google may process service data in the United States or other locations described in its Firebase privacy information.
• ZIP and mileage lookups: ZIP codes are sent to Zippopotam.us to find locations. The resulting coordinates are sent to the OpenStreetMap Routing Machine service to estimate road mileage. Those services also receive connection information needed to answer the request. The quote lookup does not send your name or contact-form answers to those routing services.
• Maps and media: opening Google Maps, following an external review link, loading externally hosted media, or playing an embedded YouTube or Vimeo video connects you with that provider. The provider may receive technical information and use cookies or similar technology under its own policy.
• Email and PDF sharing: a trip submission saves an admin copy separately from the email you choose to send. Your selected mail or sharing app receives the PDF and related message information when you share it. You select the recipient and send the message. Downloaded PDFs and sent emails remain subject to your device, email provider, and recipient’s controls.

6. Browser storage and shared devices

The website uses browser storage, including local storage and authentication storage, to maintain sessions, remember view preferences, save unfinished forms, and display email reminders. Essential cookies or similar technology may also be used by authentication and hosting services.

Driver forms can be used without a visible sign-in. A browser-session identifier connects submitted reports to that device. Anyone with access to the same browser profile may be able to view its drafts and submitted reports. Use a device and browser profile you control, and sign out of any account on shared devices. Optional Google sign-in connects future drafts and submissions to your account across devices; guest records are not automatically transferred to a different account.

Resetting a form clears its current draft. Clearing browser data can remove local drafts, reminders, and access to the browser session. It does not delete drafts already synced to a signed-in account. Neither action deletes records already submitted to Moon Express. Browser settings can limit storage or third-party content, but some website functions may stop working.

7. Retention and security

Submitted records are retained for operational, accounting, safety, application-review, legal, and dispute-resolution needs. The period depends on the type of record and applicable obligations; it is not the same for every record. Guest drafts remain on your device until reset, replaced, or removed through browser settings. When you sign in, unfinished trip reports and inspections are also stored privately with your account so you can continue on another device. Account drafts are replaced as you edit and cleared when you reset or submit the form; submitted records are retained separately.

We use access controls and hosted infrastructure to reduce the risk of unauthorized access. No online system or transmission can be guaranteed completely secure. Contact us if you believe a device, account, or report has been accessed improperly.

8. Your choices and requests

Contact us using the details below to ask about your information or request access, correction, or deletion. Depending on applicable law, you may have additional rights, including obtaining a copy of your information or appealing a request decision. We may need to verify your identity and authority before acting. Do not send passwords or highly sensitive documents with an initial request.

Some records must be kept for legal obligations, active transactions, safety matters, or claims. Where a request cannot be fulfilled, we will explain the applicable reason. We will handle applicable privacy rights without unlawful discrimination. You can also choose not to provide optional information, although required details may be necessary to process your request.

9. Children’s information

These services are intended for business users and adults seeking work. They are not directed to children under 13. If you believe a child has provided personal information through the website, contact us so we can review and address it.

10. Updates to this policy

We may update this policy as our services or practices change. The effective date above identifies the current version. Material changes will be identified on the website or communicated as required by law. Changes do not authorize uses of previously collected information that require a separate notice or consent under applicable law.
